Terms & Conditions

    Payment and Charges
     
  1. All prices are inclusive of VAT at the current rate of 17.5% and are valid from 1st January 2008 to 31st December 2008. Restricions apply. Prices are subject to alteration and are correct as at December 2007.
     
  2. A deposit of £1000 is required together with written confirmation to secure the reservation. This must be received no later than 14 days after the original booking is made.
     
  3. Whole venue bookings (irrespective of numbers of people attending) require a deposit of £1000 together with written confirmation to secure the reservation. This must be received no later than 14 days after the original booking is made.
     
    An interim invoice will be sent to the Client 8 weeks before the booking date. This invoice will include all catering/drinks supplement charges for the number of guests that the client has already provided. These numbers will be the minimum that will be charged for. The venue hire and any other charges already accrued will also be included on the interim account.
     
  4. All room/venue prices are subject to change until written confirmation and deposit have been received. Prices for consumables, i.e. catering are subject to change and will be notified to the client accordingly.
     
  5. Full settlement of the interim account will be required 4 weeks prior to the event.
     
  6. Any additional costs for extra food, drinks etc consumed on the day will be invoiced to the client within 14 days following the event
     
  7. All deposits paid shall not be refundable
     
    Confirmation of Reservation by the Client
     
  8. All bookings will be provisional until deposit and written confirmation of date, times and numbers have been received from the client to Chippenham Lodge Estate. All bookings are subject to these Terms and Conditions.
     
  9. Final numbers, timings and menu must be confirmed in writing at least 8 weeks prior to the event. The final numbers given here will be the number charged for on the day unless numbers increase, in which case an additional charge will be payable.
     
  10. Only wine, beer and spirits purchased from the bar may be consumed Chippenham Lodge Estate premises during licensing hours. Alcohol that is not purchased through Chippenham Lodge Estate will incur a £10 per bottle corkage charge (wine and champagne allowed only) and may only be consumed for the duration of the wedding breakfast meal.
     
  11. Music must cease at 11.45pm. If a disco is providing entertainment, they MUST NOT use pyrotechnics. Chippenham Lodge Estate is in a residential area and we have very strict volume restrictions. In order to adhere to these restrictions music may only be utilised in the Namid Suite.
     
  12. The client of the function will be held responsible for:-

    The good behaviour of all guests.
     
    Ensuring that all guests vacate the premises by no later than 12 midnight. It is therefore essential that any mini cabs booked in advance are ordered to arrive in time.
     
    Ensuring that all guests leave in an orderly and quite manner, due to Chippenham Lodge's proximity to a residential area.
     
    Ensuring that all guests are aware of local fire procedures. Current information is available in all rooms.
     
    A full guest list preferably in alphabetical order must be provided at least 14 days prior to the function.
     
    Amendments and Cancellations by the Client
     
  13. Any amendments to numbers or arrangements must be confirmed in writing to Chippenham Lodge Estate.
     
  14. Cancellation made by the client will be subject to the following charges:-
    More than 90 days written notice-Deposit
    Between 60 & 90 written notice-50% of the total contracted account
    Less than 60 days written notice-100% of the total contracted account

  15. In addition to the above, if the client cancels any other Goods and Services ordered by the Client in connection with the booking, the Client shall reimburse Chippenham Lodge Estate any loss which it sustains in connection with such a cancellation.
     
  16. The Client agrees not to enter into any contracts for music or other forms of entertainment or other services in connection with the function without prior written consent of Chippenham Lodge Estate, such permission not to be unreasonably withheld.
     
  17. Force Majeure. Chippenham Lodge Estate will not accept liability or pay compensation for any loss, damage or expense for any failure due to Force Majeure. This shall include without limitation any service which we or any of our suppliers could not provide due to war, threat of war, riots, civil strife, terrorist activity, industrial action, natural or nuclear disaster, fire, adverse weather conditions, closure of airports or ports, governmental intervention, accidents or technical problems with transport.
     
  18. Chippenham Lodge Estate reserve the right to cancel a booking in the case of any circumstances not covered by clause 17 above. In such event the client will be given as much notice as possible of any cancellation and any monies paid by the client will be refunded. However no compensation for any loss, damage or expense will be paid.
     
    Licencing Regulations
     
  19. As a condition of our license, Chippenham Lodge Estate have to ensure that the licensing laws are adhered to, particularly

    i) No person under the age of 18 years may consume or purchase intoxicating liquor

    ii) At the closure of the bar all drinks must be consumed within 20 minutes.

    The co-operation of our clients is required in helping us to comply with these regulations.
     
    General
     
  20. Please note minimum guest numbers required to qualify for our package prices.
     
  21. All evening celebrations must finish by 12.00 midnight.
     
  22. The client must comply with all relevant statutory regulations and are responsible for ensuring that contractors employed by them,comply with statutory requirements.
     
  23. The client shall be responsible for payment of any damage caused by the client, guests or any contractors employed by the client to Chippenham Lodge Estate.
     
  24. Chippenham Lodge Estate shall not be responsible for the loss or damage of any articles left at the venue prior to, during or after the event.
     
  25. Chippenham Lodge Estate operates a no smoking policy within the country house and Pavilion to ensure that all guests can enjoy a healthy and clean atmosphere throughout their visit.
     
  26. Evening buffet menu's require that a minimum of 75% of the total guests must be catered for.
     
  27. All prices exclude public and bank holidays. Prices available on request.
